Vending franchise management software

Built for franchises that place machines into host venues, where head office owns the machines, customers pay at the machine, and the franchisee's job is winning venues and keeping every machine stocked and immaculate. FranchiseMS gives a vending network exclusive postcode territories with a checker for whose area a venue falls in, venue surveys captured on a phone with photos and head-office sign-off, refill and service visits recorded with photo, GPS and offline proof, a company store that is the only approved source for sealed consumables, and the joined-up manual, training and audits that protect the brand across machines no one is standing next to.

What you get

Exclusive territories, protected

Each franchisee's area is a set list of postcodes. When postcodes are added, the system stops two areas ever overlapping, and a checker answers who covers a given venue in seconds, before it is approached rather than after a machine is installed.

Venue surveys with sign-off

A prospective venue is surveyed on a phone, with photos of where the machine would go and the details that make or break a site, and it goes to the owner to approve before anything is committed. Approved venues carry their survey photos through to the install.

Visits with proof

Refill, restock and service visits run on the same field system as trades franchises, giving round staff a day-by-day agenda on their phone, photo proof, an automatic GPS stamp, and offline capture for basements and areas with no signal. When no one is standing by the machine, the visit record is your proof it is being looked after.

Sealed supply, one source

Consumables are ordered from the company store at wholesale, the network's single permitted source. Sealed one-way containers plus unannounced audits are the anti-counterfeit backbone that keeps genuine product in every machine.

Unannounced audits

Audit templates check machines against the operations manual (genuine sealed stock, presentation, the venue agreement honoured), and a failed check automatically raises a corrective action with an owner and a due date.

A starter kit on day one

A vending franchisor onboards with a ready-to-edit operations manual (venue acquisition, the refill protocol, anti-counterfeit rules), audit template, training courses with annual certifications, legal starter templates and a marketing pack, then makes them their own.

Vending & unattended retail franchise management: FAQ

How does FranchiseMS handle vending territories?

Each territory is a set list of postcodes that the whole system checks against. When postcodes are added, the system stops two areas overlapping, franchisees get a checker to confirm who covers a venue before they approach it, and any work recorded outside an area is flagged to head office.

Do franchisees take payments?

No, and the platform reflects that. Consumers pay at the machine and the money is processed centrally by head office, so a vending franchisee's console has no payment-taking screens at all. Their side of the business is venues, rounds and stock.

How are refill rounds tracked?

Refill and service visits run on the same field system used by trades franchises. Round staff get a day-by-day agenda on their phone, photo proof, an automatic GPS stamp confirming they were there, and offline capture that uploads when signal returns. Every visit becomes a permanent, time-stamped record.

Does it manage the machines themselves?

A machine-by-machine record and central settlement of machine takings are on the roadmap, designed with working vending operators. Today the platform runs territories, venue pipelines, visits, supply, training and audits, which is everything around the machines.
